NEW APPLICATION AND SUPPLEMENTAL APPLICATION GUIDELINES

In an effort to reduce the time required for approval of new and supplemental applications, I have provided
guidance in the document below which will, if followed, greatly reduce processing time at the State and
National level. This guidance follows the guidelines published by the National Society and other good
practices followed by most Heritage Organizations in the U. S.
*PLEASE MAINTAIN A COPY OF THIS DOCUMENT IN YOUR CHAPTER FILES
AND PROVIDE A COPY OF THIS TO EACH APPLICANT EARLY IN THE PROCESS.
1. Up until recently, each application should have been submitted with an original and two
copies, with one copy of each proof. Since the TXSSAR Genealogist, Registrar, Correspond-
ing and Recording Secretaries each require a copy, Compatriots are now requested to submit
the original + four (4) copies. For the additional two copies, we need only the top part of
the front page, so a letter size copy will suffice. Makes checks payable to TXSSAR.
2. On the bottom left of the application form is the date of that form. No forms printed prior to
1990 will be accepted by NSSAR The 1990 form will soon be obsolete, so each chapter
should order the 1999 forms as soon as possible. The new printed forms can be recognized
by the small raised SAR logo on the lower left corner.
3. Original computer generated applications must be presented on new Watermarked paper.
The NSSAR Genealogist has ruled that all dotted lines must be printed. If your printout
doesn't print out all lines consult the software producer for the required adjustments to your
printer.
4. Insure that you have double checked the proper fees due from each applicant.
5. Always include both the name and chapter # at the top of the application.
6. On each supporting document, underline in red the name of each pertinent person in the
pedigree.
7. Currently deficiencies are being corrected through a letter from the TXSSAR Genealogist to
the applicant. Those applicants who type in their e-mail address on the application will
receive priority response. The e-mail address should be typed immediately under the
telephone number on new applications; and on supplementals under the address on the
bottom of the reverse side. If the sponsor wants a copy of any deficiency notice, he should
also provide his e-mail address.
8. If your application is relying on a membership in NSDAR, care should be taken to include
only DAR applications clearly marked "RECORD COPY". Any DAR application submit-
ted as proof that does not contain the words "RECORD COPY" will be returned.
9. All Supporting documents should be paper clipped together with other documents for that
generation, with the generation number for those documents clearly marked in red (on a
sticky tab). The grouped documents should be placed in generational order.
10. When submitting copies of a page from a book, always submit a copy of the cover page with
the generation number for those documents clearly marked in red on the cover. For those
books with reference to more than one generation, underline in red each individual's name
and place a notation in red in the margin to note the generation of the individual contained
in the pedigree.
11. Multi page documents should be stapled (not paper clipped) together with the generation
number for those documents clearly marked in red. It will save both postage and storage
space if all multi page documents are copied on both the front and back of the page.
12. If any person listed in the pedigree has undergone a surname change through court action;
by unilateral action (just assumed a different name); was the spouse of a third party; or
simply was reported incorrectly AND that other surname appears on any document submit-
ted as proof; reflect that additional surname on the pedigree in (parenthesis).''
