What to do when Outlook is running slow or crashing
utlook is, by far, the pre-
mier email program for
both home and business
users. Yes, even for you Mac us-
ers who work in business, you
are likely using Outlook to send
and receive emails, schedule
meetings, etc.
Inevitably, you will run into
an issue where Outlook will ei-
ther start running very slowly, or
it may not open at all and give
you an error message. Before
you think about removing and
reinstalling, here are some
things you might want to check.
If you are starting Outlook
and you notice that the program
is taking a long time to open, it
could be one of several things.
One of the most common things
found is that a person will sim-
ply have a huge inbox. If you are
a person who has a tendency not
to delete anything from your
email and are experiencing this
Next, click on “folder size” and
you will see how much you have
in terms of files.
Before we cover archiving,
let’s look at a couple of other is-
sues that could be causing the
problem. An add-in, which is a
program from another program
that loads into Outlook, may be
corrupt. A good way of checking
this is to open Outlook and go to
File/Options/Add-ins. At the
bottom of the screen you will
find a section called “manage.”
Start with COM add-ins and
disable one, and then restart
Outlook. Go down the list un-
checking each one as you go. If
you find that Outlook runs fast-
er, or without an error message,
then you know that the last add-
in you unchecked was the prob-
lem. Leave it disabled, or rein-
stall the main program that in-
stalled it.
Even if you deleted a bunch
of junk from your email, your
mail file may still be huge. You
can compact that file which
should greatly improve perfor-
mance. Go to your main mail
account name, right click and go
Properties/Advanced/Ad-
vanced/Outlook Data File Set-
tings. From there, click on
“Compact Now” and that should
do the trick. Note, depending on
the file size, this could take min-
utes or even hours to complete.
Be prepared to not use your
email for a while until it’s done.
Now for all you email pack
rats. If you just cannot live with
the thought of deleting some-
thing, you can always archive it.
Following the same path as
finding out your mailbox size,
simply click on the AutoArchive
tab. From there you can archive
with default settings, or what I
really recommend, is to set
yourself on a schedule. The de-
fault is six months, and that
should be fine. Archiving email
is a great way to get it actively
out of your email folders and put
it in a special place. There are
limitations to archiving, so Goo-
gle that under “PST limitations.”
Finally, sometimes you just
have a jacked-up Outlook client.
Recommendation is to open up
Control Panel under Programs,
highlight Office and click
“change” and choose “repair.” If
that does not work, you may
need to uninstall and reinstall
the program. This should be a
last resort. If nothing else, this
“nuclear option” should resolve
any issues you have been having.

your computer as they are
downloaded from the email
server to your computer into a
file that continues to get larger if
not properly maintained. Next,
continue down to your subfold-
ers and remove old items there.
Be sure not to overlook sent
items. That folder builds up
rather fast.
You are not done yet howev-
er. All those files you deleted are
now in the deleted items folder.
You must delete them from
there, otherwise you are still
taking up the same amount of
space. Now, if you are wanting
to know just how much space
you have been taking up, right
click on the “deleted items” fold-
er and then click “properties.”
